How to create an invoice or receipt
Invoices and receipts are simple business documents, but a clear layout can save time for both the seller and the client. Use this free invoice and receipt generator to enter the sender details, client details, document number, date, items, quantities, prices, discount, and tax or VAT rate. The totals update as you type, so you can check the numbers before downloading a PDF. The tool does not require an account, database, registration, or server upload.
Start by choosing a currency and entering an invoice number. A number such as INV-001, 2026-014, or a client-specific reference can make it easier to find the document later. Add the issue date and complete the sender block with the business name, email, phone number, and address. Then complete the client block. A receipt can use the same layout after payment, while an invoice normally records an amount that is still due.
Line items, quantities, and prices
Each line represents one product, service, task, or charge. Enter a short description in the item field, the number of units in Quantity, and the price for one unit in Price. The line total is quantity multiplied by price. Add a separate line for delivery, consulting time, materials, or another charge when that makes the document easier to understand. Avoid putting several unrelated services into one vague line because a client should be able to compare the document with the work delivered.
Quantity can be a whole number or a decimal. A freelancer might enter 2 hours, a designer might enter 1 project, and a retailer might enter 4 units. Use the same price convention on every row: either a unit price or a clear service rate. The live preview shows each line and the calculated total, making it easier to spot a missing price or an accidental zero quantity.
Example: Checking a Small Invoice
Suppose you add two hours of consulting at 50 per hour and one 20 delivery charge. The subtotal is 120. A 10% discount reduces the taxable amount to 108; if the entered tax rate is 15%, the total becomes 124.20. Review the currency, client details, due date, and local tax treatment before sending the document.
Tax, VAT, and discounts
Enter the tax or VAT percentage that applies to this transaction, if any. The generator applies the discount first, then calculates tax on the reduced taxable amount. For example, a subtotal of 100 with a 10% discount becomes 90 before a 15% tax is applied. The result is 103.50. Local tax laws and invoice rules vary, so confirm whether your tax should apply to the full subtotal, a discounted subtotal, shipping, or specific products. This tool performs the arithmetic you enter; it does not determine legal tax obligations.
A discount entered as a percentage is useful for promotional pricing or negotiated reductions. If your discount is a fixed amount rather than a percentage, convert it to the equivalent percentage or add a negative line only if that matches your accounting process. Keep the final document transparent by showing the subtotal, discount, tax, and grand total separately.
PDF download and privacy
When the preview looks correct, choose Download PDF. The page uses a browser PDF library to turn the visible preview into an A4 document. Your form values are processed in the current browser tab. No user registration or database is needed, and the page does not send the invoice to AfriWidget’s servers. Downloaded files remain on your device, so store or share them according to your own business and privacy policies.
Before sending an invoice, confirm the client name, contact details, payment terms, bank or mobile-money instructions, tax identification details, and due date if those details are required in your jurisdiction. The generator provides the document layout and totals, but it is not a bookkeeping system or legal compliance service.
